Recently I had the opportunity to go visit one of our customers that has been using RMI’s ADVANTAGE software for about 12 years. They had recently upgraded to our latest version and were just looking to see if there were any ways to make their jobs a little bit easier.
My initial thought before heading down there was that these folks have been working with the software longer than I have; they will be pros. They were really good at knowing their business and executing their current processes, but by no means were some of these processes efficient.
Let’s look at how much time one person can save throughout the course of a year by streamlining a single process. Imagine if you can reduce this single process that needs to be completed 100 times a day by only 5 seconds each time. Throughout the course of a day this will save that person about 8 minutes and 20 seconds. Over the course of a week it will save them about 41 minutes and 40 seconds. This doesn’t seem like much, but over the course of a year this saves one person about 2166 minutes or roughly 36 hours. That is almost an entire work week! Now imagine that the company this person works for has 20 employees. If you could do the same thing for each of them this frees up about 722 hours or 18 weeks!
In the course of a few hours, we were able to identify one process that by my estimate will save them about 10 minutes and 3-4 sheets of paper each time. We were also able to identify quite a few shortcuts to existing processes that will shave 5-15 seconds here and there, which will really add up. Some of these shortcuts are as simple as searching for the customer record in a different way, something that you will need to do countless times each day.
The moral, and this can be applied to any business not just Rental, Sales and Service organizations, is to always challenge your current processes. Chances are there are opportunities for improvement that ultimately save you time and money.
